Privacy Policy

The Maneframe ("the Service") is a barn management app for equestrian businesses, provided by Haywire Labs LLC, a Virginia limited liability company ("Haywire Labs," "we," "us"). This policy explains what information we collect, how we use and share it, and the choices you have. It applies to the iOS app, the web app at app.maneframe.io, and maneframe.io.

1. Who controls your information

Barns and equestrian businesses ("Barns") use The Maneframe to run their operations and to work with their staff, instructors, riders, boarders, guardians and others ("Members").

• Information a Barn manages about its Members, such as rider profiles, horses, lessons and schedules, is collected and controlled by that Barn. We process it on the Barn's behalf to provide the Service. For questions about how your Barn uses your information, contact your Barn.
• Information we handle for our own purposes, such as account sign-in, Barn subscription billing, service security and diagnostics, and support requests, is controlled by Haywire Labs and covered directly by this policy.

2. Information we collect

Information provided by you or your Barn

• Contact information: name, email address, phone number and mailing address.
• Profile information: date of birth, rider weight (used to match riders with suitable horses), roles at the Barn (for example staff, instructor, rider, boarder, guardian), and relationships between people (for example a guardian and a rider).
• Barn activity information: horses (such as names, disciplines and workload limits), facilities and locations, one-time and recurring lessons, attendance, lesson and reschedule requests, approvals, barn events, lesson packages and memberships, and notes entered in the Service.
• Barn business information: barn name, address, time zone and settings.
• Sign-in information: if you sign in with Apple or Google, we receive the name and email address that provider shares with us. We never receive or store your password; sign-in is handled by our authentication provider.
• Subscription billing (Barn administrators): when a Barn pays for The Maneframe, payment is processed by Stripe. We do not store card numbers. If a Barn sets up payments through Stripe, Stripe collects the business and identity details it requires directly from the Barn.
• Support requests: if you contact us through the support form at maneframe.io or by email, we receive your name, email address, Barn name (if you provide it) and your message.

Information collected automatically

• Device notification identifiers: push notification and Live Activity tokens for each device you use, so we can deliver notifications and live updates.
• Diagnostic information: crash reports and error reports (such as app crashes and hangs), used to find and fix problems. These reports do not include your name, email address or the content of your records. They may include internal identifiers, such as an account ID, Barn ID and request ID, so we can investigate a specific problem.
• Server logs: our servers log technical events using internal identifiers (request, Barn and account IDs), not the content of your records. Our hosting provider may record IP addresses in its own logs for security and troubleshooting.

Information we do not collect

We do not collect your device's location, contacts, photos or advertising identifier. We do not use third-party analytics or advertising tools, and we do not track you across other companies' apps or websites.

3. How we use information

• To provide and operate the Service, including scheduling, availability and conflict checks (for example matching rider weight to a horse's limits), requests and approvals, barn events and reporting.
• To send invitations, notifications, emails and live updates about activity at your Barn.
• To show weather for your Barn, using the Barn's address, never your device's location.
• To determine whether a person is old enough to have their own account (Section 7).
• To bill Barns for their subscription.
• To keep the Service secure, prevent abuse, and diagnose and fix problems.
• To respond to support requests. Messages sent through the support form are delivered to our support inbox by email.
• To comply with legal obligations.

We do not sell your personal information, use it for advertising, or share it for cross-context behavioral advertising.

4. How information is shared

• Within your Barn: information is visible to people at your Barn according to their roles. For example, staff can see rider profiles and schedules, guardians can see the riders they are responsible for, and riders see their own schedules.
• Between Barns: each Barn's records are kept separate. If you belong to more than one Barn, your sign-in account is shared, but each Barn sees only its own records about you. Barns that belong to the same business may share a billing account.
• With service providers that process information on our behalf, under contracts that limit how they may use it (Section 5).
• For legal reasons: when required by law, or to protect the rights, safety or property of our users, the public or Haywire Labs.
• In a business transfer: as part of a merger, acquisition or sale of assets, subject to this policy.

Calendar links: if you create a calendar subscription link, anyone who has the link can see the schedule it contains, and the calendar app you subscribe with (for example Apple Calendar or Google Calendar) will fetch it. You can replace or revoke the link in the app at any time.

6. Information stored on your device

So the app keeps working with limited connectivity, it stores a copy of your Barn information on your device. It may also show information in iOS features such as notifications, Lock Screen Live Activities, widgets and Spotlight search. Signing out removes the stored copy, widget content and Spotlight entries from your device. Changes you made while offline that have not yet been sent stay on the device until you sign back in.

7. Children

The Maneframe is intended for Barns and the adults who work with them. Children under 13 cannot have their own account or sign in to the Service.

• A person can have an account only after their date of birth has been recorded and shows they are at least 13. A person whose age is unknown cannot be invited.
• The same requirement applies when someone requests to join a Barn using a signup link or barn code.

Barns may enter information about riders who are under 13, such as their name, date of birth and lesson schedule, so the Barn can provide lessons. This information is entered by the Barn or by the child's guardian, not collected from the child. It is visible only to the Barn's staff and to the guardian(s) the Barn adds, who can view and manage it through their own accounts.

If you believe information about a child has been provided without appropriate consent, contact your Barn or privacy@maneframe.io and we will help address it.

8. Data retention

• We keep Barn and Member information while the Barn's account is active, or as needed to provide the Service.
• Records a Barn archives (for example a former rider or a retired horse) remain in the Barn's history unless deletion is requested.
• Database backups are kept for up to 10 days and then overwritten.
• Crash and error reports are kept for up to 30 days.
• Hosting provider logs are kept for up to 7 days.
• When a Barn closes its account, it can ask us to delete its data, and we will delete or de-identify it within 90 days of the request, except where we must keep it to meet legal obligations.

9. Your choices and rights

• Access and correction: you can view and update much of your information in the app. Your Barn can update the information it manages.
• Deletion: you can delete your account in the app under Account Preferences, or by emailing privacy@maneframe.io. Deleting your account removes your sign-in and the information tied to it, such as notification tokens and calendar links. Records your Barn keeps about you, such as lesson history, belong to the Barn; to have those removed, contact your Barn. Some information may be kept where the law requires it, such as billing records.
• Notifications: you can turn off push notifications in your device settings at any time.
• Calendar links: you can replace or revoke any calendar link you've created.
• State privacy rights: depending on where you live, you may have rights to know, access, correct or delete your personal information, or to opt out of certain processing. To make a request, email privacy@maneframe.io. We will not discriminate against you for exercising these rights.

10. Security

We protect information with encryption in transit (HTTPS), encryption at rest of our database and its backups, separation of each Barn's data enforced at the database level, role-based access controls, and multi-factor authentication for internal administrative tools. No system is perfectly secure, but we work to protect your information and will notify affected users of a breach as required by law.

11. Where information is stored

Information is stored and processed in the United States.

12. Changes to this policy

We may update this policy from time to time. If we make material changes, we will update the effective date and notify Barns or users through the Service or by email.
